systemHUB - Managing New Subscribers

This system explains how to handle new systemHUB subscribers or clients.

System Details

Step 1: Confirm the Slack channel notification

Confirm new systemHUB subscriptions through the Slack channel, "order-systemhub".

The message notification will include important details such as the new subscriber's name, company name, email address, purchased subscription, etc.

 

Step 2: Double-check the new subscription in the systemHUB root account

Log into systemHUB's root access. Request login credentials from your supervisor.

Once logged in, navigate to the left-side panel and click "Packages management." Then, choose the package associated with the subscription of the new client.

If you are setting up a systemHUB-bought Business Systems Accelerator (BSA) account, follow this system

 

Step 3: Log the client in the client spreadsheet

Log the new client into the systemHUB client spreadsheet here. If you don't have access, ask your supervisor to share the spreadsheet with you.

Navigate to the appropriate section in the spreadsheet (based on subscription type, e.g., Complete Monthly Subscription, Annual Subscription, etc.) and log the new client with full details. 

Ensure the order in the spreadsheet matches the systemHUB list (by Last Name in alphabetical order). Include information such as the client's company, first name, last name, and email address. 

In systemHUB's root access, click the pencil icon next to the client's status on the dashboard to be directed to the company's information page. Gather the details and update the new client's entry in the systemHUB client spreadsheet.

If the client account was upgraded or downgraded from a different paid plan or was previously a paid SYSTEMology service account, skip Step 4 and proceed to Step 5.

 

Step 4: Send the quick-start service email to the client

Select the suitable email template below depending on the purchased subscription and send it via Intercom.

If, at any point, the client responds to the quick-start email, refer to the systemHUB Quick-start Service system.

 

Step 5: Provide an update in Slack

Once you've successfully logged the new subscriber in the spreadsheet and double-checked everything, add a note in the individual Slack message about the new subscriber, mentioning that you've already logged their details.

Include in the note that you've sent the quick-start email to the new subscriber and copied the relevant team members. Use the following notification and adjust as necessary:

Update: DAY/MONTH/YEAR
 

  • This client's systemHUB account has been created.
     
  • The client spreadsheet has been updated.
     
  • The quick start email has been sent through Intercom email.

React to the notification with a check emoji to confirm that the notification has been actioned.
